1. Introduction

This Privacy Policy explains how Notary Navigator LLC (“NotaryNavigator,” “we,” “us,” or “our”) collects, uses, stores, discloses, and protects personal information when you access or use the NotaryNavigator website and platform located at www.notarynavigator.com (the “Platform”).

NotaryNavigator is a professional directory and matching platform that connects Notary2Pro-certified notary signing agents with businesses and organizations seeking notarial services.

This Privacy Policy applies to information collected through the Platform, including when you create an account, complete a profile, communicate with us, or otherwise use the Platform.

By using the Platform, you acknowledge that you have read and understood this Privacy Policy.

2. Scope of This Policy

This Privacy Policy applies to information collected from:

  • Employer Members: Businesses and organizations that register to search for and contact notary professionals
  • Notary Members: Eligible notary professionals who create profiles on the Platform

This Privacy Policy does not apply to services performed independently by Notary Members or Employer Members outside the Platform, or to third-party websites or services that may be linked from the Platform.

3. Information We Collect

3.1 Information You Provide

Employer Members

We may collect:

  • Full name
  • Company name
  • Job title or role
  • Business email address
  • Phone number
  • Company type or industry
  • Account registration details
  • Communications with us or through the Platform

 

Notary Members

We may collect:

  • Full name
  • Email address
  • Phone number
  • Professional contact details
  • Notary commission information (state, expiration date, and other details if provided)
  • Services offered
  • Service area
  • Languages spoken
  • Certifications and training information
  • Availability
  • Profile content (bio, photo, website, LinkedIn, etc.)
  • Insurance information (if provided)

Communications with us or through the Platform

3.2 Information from Notary2Pro

If you register as a Notary Member, we receive the following information from Notary2Pro through a secure system integration: full name, email address, and certification and graduation data. This information is used solely to verify eligibility for the Platform and to populate or maintain your Notary Member profile. No additional data fields are received through this integration.

3.3 Payment Information

Payment transactions on the Platform are processed by Stripe, a third-party payment processor. NotaryNavigator does not collect, store, or have access to your payment card details. All payment data is governed by Stripe’s own privacy policy and terms of service. We may receive limited transactional metadata from Stripe (such as transaction confirmation and billing status) for account administration purposes.

3.4 Information Collected Automatically

We may automatically collect technical and usage information, including:

  • IP address
  • Browser type and device information
  • Operating system
  • Pages visited and features used
  • Search queries and filters applied
  • Links clicked
  • Session activity
  • Referring URLs
  • Date and time of access
  • Approximate location derived from IP address

3.5 Cookies and Similar Technologies

We use cookies and similar technologies to:

  • Maintain session functionality
  • Remember preferences

  • Analyze Platform usage

We do not use third-party advertising cookies or allow ad networks to track users on the Platform.

You may control cookies through your browser settings, though some features may not function properly if disabled.

4. How We Use Information

  • Verify eligibility for Platform access
  • Operate and maintain the Platform
  • Display Notary Member profiles to Employer Members
  • Facilitate communication between users
  • Provide customer support
  • Send transactional and administrative communications
  • Send updates about Platform features (you may opt out of non-essential communications)
  • Improve Platform functionality and user experience
  • Monitor usage trends and performance
  • Detect and prevent fraud, abuse, and security issues
  • Enforce our Terms of Service
  • Comply with legal obligations

We may also use aggregated or de-identified data for analysis and improvement purposes.

5. How Profile Visibility Works

5.1 Notary Member Profiles

A core function of the Platform is to allow Employer Members to discover and contact Notary Members. If you register as a Notary Member, the information you include in your profile—including professional and contact information—may be visible to registered Employer Members.
By creating a Notary Member profile and providing contact information, you direct us to make that information available to Employer Members for legitimate business purposes through the Platform.

5.2 Employer Member Information

Employer Member information is not publicly displayed. It is used internally for account administration, verification, support, and security purposes.

6. How We Disclose Information

We do not sell your personal information for monetary consideration.

6.1 With Other Platform Users

  • Notary Member profile information is made available to Employer Members
  • Limited information may be shared to enable communication between users

6.2 With Service Providers

We may share information with trusted third-party service providers that support Platform operations, including:

  • Hosting and infrastructure providers
  • Payment processing (Stripe — governed by Stripe’s privacy policy)
  • Email delivery and communication service providers
  • Analytics tools
  • Security and monitoring services
  • Customer support systems

 

These providers are bound by contractual obligations and are authorized to use your information only as necessary to perform services on our behalf.

6.3 Legal and Security Requirements

We may disclose information if necessary to:

  • Comply with applicable law or legal process
  • Protect our rights, users, or property
  • Investigate or prevent fraud, abuse, or security issues
  • Enforce our agreements

Where legally permissible, we will endeavor to notify affected users prior to disclosure in response to legal process. 

6.4 Business Transfers

If Notary Navigator LLC is involved in a merger, acquisition, or asset sale, personal information may be transferred as part of that transaction, subject to applicable law. We will provide notice of any such transfer that materially affects your rights under this Privacy Policy.

7. Data Protection and Use of Directory Information

The Platform contains a proprietary professional directory. Information accessed through the Platform may be used only for legitimate business purposes consistent with engaging notarial services.

You may not:

  • Extract, scrape, or compile directory data
  • Build or enhance a competing service
  • Send unsolicited or unrelated marketing communications
  • Misuse user data in violation of our Terms

 

We may monitor usage and take action, including account termination, to protect the Platform and its users.

8. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this Privacy Policy, subject to the following general timeframes:

  • Active account data: Retained for the duration of an active account relationship.
  • Inactive accounts: Accounts with no activity for 24 consecutive months may be deactivated. We will provide advance notice before any deletion.
  • Communications and support records: Generally retained for 3 years from the date of the communication.
  • Legal, compliance, and dispute-related records: Retained for up to 7 years, consistent with applicable statutes of limitations and tax recordkeeping requirements under Arizona law.
  • Security and access logs: Retained for up to 12 months.
  • Backup copies: Deleted data may persist in encrypted backup systems for up to 90 days before being purged from rotation.

 

If you request deletion of your account or personal information, we will complete that process within 30 days of verification, subject to any legal hold obligations or ongoing dispute resolution requirements.

We will take steps to remove or de-identify Notary Member profiles if eligibility requirements are no longer met or profile information becomes materially outdated.

9. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information, including:

  • Encrypted transmission of all data via HTTPS/TLS
  • Encrypted storage of passwords — passwords are stored in hashed, encrypted form and are not readable by any NotaryNavigator staff member
  • Access controls limiting staff access to personal data on a need-to-know basis
  • Regular security assessments and monitoring

No system is completely secure, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials. If you believe your account has been compromised, contact us immediately at contactus@notarynavigator.com.

10. Data Breach Notification

In the event of a security incident involving your personal information, we will take prompt steps to investigate and contain the incident. To the extent required by applicable law—including Arizona’s data breach notification statute (A.R.S. § 18-552)—we will notify affected individuals in the most expedient time possible and without unreasonable delay.
Notification will be provided by one or more of the following methods, as appropriate: direct written notice to the email address associated with your account, or prominent notice on the Platform, or a substitute form of notice where direct contact information is unavailable.
Notices will include, to the extent known at the time: a description of the nature of the incident, the categories of information involved, steps we are taking to address the incident, and recommended steps you may take to protect yourself.

11. Your Choices and Rights

11.1 Access and Updates

You may review and update your information through your account or by contacting us.

11.2 Communications

You may opt out of non-transactional emails at any time.

11.3 Deletion

You may request deletion of your account and associated information, subject to applicable legal and operational requirements. Deletion requests will be completed within 30 days of identity verification.

11.4 Data Portability

11.5 Response Timeframe

We will respond to all requests to exercise your rights within 30 days of receipt. We may need to verify your identity before responding.

11.6 California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have specific rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA).

Categories of Personal Information Collected

In the preceding 12 months, we have collected the following categories of personal information:

  • Identifiers (name, email address, phone number, IP address)
  • Professional or employment-related information (job title, company, notary commission details, certifications)
  • Internet or other electronic network activity (browsing behavior on the Platform, session data)
  • Geolocation data (approximate location derived from IP address)
  • Communications (messages and support interactions)

Categories of Third Parties with Whom We Share Personal Information

  • Service providers supporting Platform operations (hosting, email delivery, analytics, security)
  • Payment processor (Stripe) for transaction processing
  • Employer Members, who receive Notary Member profile information as a core function of the Platform

Your California Rights

As a California resident, you have the right to:

  • Know what personal information we collect, use, disclose, and share
  • Access the specific personal information we hold about you
  • Request correction of inaccurate personal information
  • Request deletion of your personal information, subject to certain exceptions
  • Opt out of the sale or sharing of your personal information
  • Non-discrimination for exercising your privacy rights

NotaryNavigator does not sell personal information for monetary consideration, and does not share personal information for cross-context behavioral advertising purposes.

To exercise any of these rights, contact us at contactus@notarynavigator.com. We will verify your identity before processing your request and will respond within 45 days, with one possible extension of an additional 45 days where reasonably necessary.

11.7 Other State Privacy Rights

Depending on your state of residence, you may have additional rights under applicable state privacy laws, including rights to access, correct, or delete certain personal information. To exercise such rights, please contact us at contactus@notarynavigator.com. We may need to verify your identity before responding.

12. Children’s Privacy

The Platform is intended for professional use by adults. We do not knowingly collect information from individuals under 18. If we become aware that we have done so, we will take appropriate steps to delete such information.

13. Third-Party Links

The Platform may contain links to third-party websites or services. We are not responsible for the privacy practices or content of those third parties, and this Privacy Policy does not apply to them.

14. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted on this page with a revised Effective Date, and we will provide prominent notice on the Platform when changes are posted. For changes that materially affect your rights or our data practices, we will provide advance notice via email to the address associated with your account before the changes take effect.
Continued use of the Platform after the revised Effective Date constitutes your acceptance of the updated policy for non-material changes.

15. Governing Law

This Privacy Policy and any disputes arising from or related to it are governed by the laws of the State of Arizona, without regard to its conflict of law provisions. Any legal action or proceeding relating to this Privacy Policy shall be brought exclusively in the state or federal courts located in Maricopa County, Arizona.
